CHARLOTTE, N.C. - May 14, 2021 - Many homeowners enjoy being part of a homeowners association (HOA), and the benefits that it provides. But it is impossible to please everyone all the time, and complaints do arise on occasion. Kuester Management Group has released a statement to the press regarding tips on how to deal with member concerns and develop solutions.
"Whenever a member has a concern, the board should ensure that they acknowledge it, even if it cannot be immediately addressed or resolved," says Bryan Kuester, President of Kuester Management Group. "Let them know that they have been heard, and you will get back to them. It is also a good idea to ask them to put their complaint in writing so that there is documentation of the issue."
Before taking any action, the board should make sure it has all of the facts, says Kuester. Ask for more information or clarification if necessary. Then, refer to the association's governing documents to determine what the HOA can legally do. Does their complaint refer to a clear violation of the rules? Is the association responsible for the matter? Explain to homeowners what the governing documents say in relation to their concerns.
If it is a dispute between homeowners, the board may encourage them to work it out on their own. If it is a matter that affects the community, the board may need to put it on the agenda for the next meeting in order to formally discuss and vote on a course of action. Keep the member in the loop so they know what the next steps are and what to expect.
"You can also work with your management company to decide which issues they are permitted to handle on their own, and which ones they should refer to the board," says Kuester. "No matter what, maintain regular communication so everyone is on the same page and the homeowner knows that their complaint has not fallen through the cracks."
